Prepare a Client Case Study Evidence Pack

A case study evidence pack helps consultants verify the problem, work, result, context, and client permission before drafting a public story.

A strong client result can become a weak case study when the evidence is assembled from memory. Numbers lose their comparison period. Quotes are paraphrased. The client sees public wording they never approved.

A case study evidence pack fixes the sequence: verify the record before writing the story.

Gather five evidence groups

Create a private working folder with:

  1. Problem: the approved description of the client’s starting condition.
  2. Baseline: the original measure, source, and period.
  3. Work: the agreed scope and the client actions that supported it.
  4. Result: the observed change, source, review period, and caveats.
  5. Permission: the client’s decision about name, quote, numbers, and publication.

Link to original records where possible. Do not duplicate sensitive client files into a marketing workspace without authorization.

Verify every result sentence

For each proposed claim, answer:

  • What exactly changed?
  • Compared with what baseline?
  • Over what period?
  • Who validated the source?
  • What other factors may have contributed?

If you cannot answer those questions, narrow the wording. “The team adopted one intake process” may be supportable when “the project transformed operations” is not.

Use the outcome evidence register as the source of truth.

Treat permission as a set of choices

Approval is not one checkbox. Ask separately whether the client permits:

  • company and person names
  • direct quotes
  • specific numbers
  • logo use
  • screenshots or deliverable excerpts
  • publication channels
  • a future review or removal process

Respect a narrow approval. An anonymous story can still be useful when it gives readers enough context to understand the problem and response.

Preserve uncertainty in the draft

Describe what the evidence shows without claiming sole causation. Include the client actions, timing, and operating context that shaped the outcome.

Send the final text—not an earlier outline—for approval. Keep the approved version and date beside the evidence pack so later edits do not exceed the permission granted.

Earn trust before visibility

A case study should make the result easier to inspect, not bigger than the evidence supports. Build the pack first, draft from verified sources, and let the client control what becomes public.

That discipline produces a more credible story and protects the relationship that made the story possible.
